Constitution of the University of Essex Fencing Club

1. Name

The name of the club shall be The University of Essex Fencing Club.

2. Aims and Objectives

The club shall seek to provide opportunities for students of all abilities to take part in fencing. In pursuing this aim, members of the club shall strive to continually improve the playing standard of the team and to uphold the good reputation of club in relationships, both on and off the field, with the Students’ Union, the University and the wider community.

3. Membership

a) Full Membership

i) Full Membership of the Club shall only be available to students of the University of Essex who are members of the Sports Federation and Full Members of the University of Essex Students’ Union, in accordance with the Students’ Union Constitution.

ii) All Full Members of the club must pay an annual membership fee, plus termly fees, as determined on an annual basis by the Club’s Executive Committee.

b) Associate Membership

i) Associate Membership of the club shall be available to individuals upon receipt of the appropriate forms and fees in accordance with the relevant regulations agreed by both the club’s Executive Committee and the Sports Federation.

4. Governance

The Club’s Executive Committee shall be responsonsible for the running of the Club on a day to day basis. The Executive Committee shall formally meet at least once a term. The Executive Committee shall comprise of the following officials:

a) President

b) Vice President

c) Treasurer

Each official shall hold office for a period of one academic year commencing on the first day of the academic year. Elections for new officials shall take place in March, towards the end of the Spring Term. The Sports Federation shall be informed promptly of the outcome of all elections.

The non-executive committee will be elected alongside the executive committee. The following positions are to be elected if required:

d) First Team Captain(s)

e) Social Secretary

f) Armourer 

And any other positions that they deem necessary to create.

5. Duties of Club Officials

President – to oversee the running of the Club, chair committee meetings, represent the club on the outside, and to take ultimate power and responsibility

Vice President – to act as second in command to the President, and to incorporate the more administrative roles, such as those of a secretary

Treasurer – to control the Club’s finances, with primary concerns being the collection of fees and the completion of budget requests

First Team Captain(s) – compiling and then orchestrating a team / teams for University fixtures

Social Secretary – organising social functions for the Club

Armourer – responsible for maintenance of the weaponry

6. Complaints Procedure

All complaints relating to the Club, its activities and its procedures shall be addressed to the President. The President shall respond to all complaints within ten days. If the response received is adjudged to be unsatisfactory, a further written complaint should be sent to the President of the Students’ Union in accordance with Schedule Eight of the Union’s Constitution.

7. Discipline

The club shall produce and review discipinary regulations in accordance with the guidelines established by the Sports Federation. Any individual who contravenes these regulations shall be subject to sanctions imposed both through the Club and, where appropriate, through the Sports Federation and the Students’ Union.

8. Representation of the Club at Sports Federation General Meetings (SGMs)

Two Full Members of the Club shall be responsible for representing the club at General Meetings of the Sports Federation. In the event that either of the representatives is unable to attend they should inform the President who shall be responsible for appointing a replacement.

9. Amendments to this Constitution

All Full Members of the club shall have the opportunity to propose amendments to this Constitution. Amendments may only be approved if they receive the support of a two thirds majority voting at a General or an Annual General Meeting.
