The Societies and Activities Department works closely with over 120+ societies and 600+ society executives to deliver a 'kick-ass' society membership to some 3000+ students every year, supporting them with their activities, sports, events and development while at the same time providing the administrative services which allow them to operate as part of the Students' Union.

WHAT YOU'LL DO. 
THE DAY TO DAY.

Reporting to the Societies Manager, you will support the development and promotion of societies for students across all three campuses. You will be involved in administering and monitoring their activities as well as updating records, the website and social media.

Your Responsibilities

The things you'll be looking after

 

  • Supporting new and existing Society Development to students at Essex
  • Responsible for inducting and supporting Societies Officials in their roles
  • Support Exec members to develop and recognise employability skills gained through Societies
  • Support the Societies and Creative Studios Manager in promoting membership and activity at Fresher’s Fair and other promotional events on and off campus
  • Assist with delivering of Winter Fayre, Fresher's Fair, open days and other large scale projects
  • Work with Society officials and other stakeholders to organise events and fundraisers throughout the academic year
  • Support Societies to meet Health and Safety standards in relation to their activities
  • Set and deliver society budgets, monitor Society accounts and administer expenses
  • Work on individual projects/within project teams as directed by the Societies Manager
  • Attend and advise at Societies Guild commitee meetings and general meetings
  • Create and deliver all societies training; both materials and sessions
  • Work with the Societies and Creative Studios Manager to deliver the annual Societies Awards event
  • Support VP Activities and the Societies and Creative Studios Manager in all areas relating to Society standards and member recognition
  • Recruit, develop and manage all student staff and frontrunners, including appraisals and performance management for career
  • Assist with the recruitment and supevision o society interns
  • Manage student staff to ensure they are updating and monitoring all social media channels for Socities, including the website, Facebook, Twitter, Instagram and Youtube etc
  • Oversee the election o all society executive positions 
  • Ensure Societies are treated respectfully and fairly by both the SU and other stakeholders
  • Maintain database and paper records for all Societies and Guild members including demographics and report as requested
  • Take responsibility for ensuring societies have suficient health and safety training and adhere to policy. Review and sign off events form and risk assessments
  • Support societies to create contracts and agreements when liaising with external companies and review these and sign on behalf of the Student's Union
  • Create policy in line with any legal, constitutional ir health and safety requirements
  • Assist the Societies and Creative Studios Manager with the development of strategic aims or the department and the delivery of these
  • Responsible for undertaking initial background checks on external speakers in line with counter terrorism legislation 
  • All staff will be expected to participate in Union wide projects such as elections, Summer Ball and Freshers activities throughout the year

You will need...

COORDINATOR SPEC

Essential  Desirable

Excellent organisational and administrative skills, including processes and systems management

 

Evidence of previous experience working in a related field.

 

Able to evidence delivery of an excellent customer service to a wide range of stakeholders.

 

Ability to display tact and diplomacy

 

Ability to work proactively to meet organisational targets

Excellent communcation skills both written and verbal

 

Excellent interpersonal skills

   

Working knowledge of MS Office

 

Ability to build effective working relationships with a wide range of stakeholders  
Knowledge of risk assessments, health and safety and child protections considerations in relation to relevant activities

Experience of the HE environment

 

Experience of supporting and motivating volunteers

 

Understanding of current and future student issues  
Experience of democratic processes together with the ability to interpret policy and communicate issues succinctly  
Experience of fundraising  
Experience of organising meetings, preparing agendas and taking minutes  
Flexibility and a willingness to support team members with projects outside of direct role  
Ability to identify training needs and assist in the delivery of training  
Good organisational skills and ability to prioritise own workload  
Excellent problem solving, negotiating and influencing skills  
Ability to communicate effectively with a diverse membership
