New Society Application Form

Who? Individual(s) who want to start up a new society or restart a dormant society.
When? Any time during year
Why? The form must be completed with 20 signatures of interested students who would join your society were your application accepted. This ensures there is sufficient demand for your society. It also ensures that you have clear aims and objectives for your potential members and so the SG can check they are not covered by other societies already. If your application is rejected, the SG will email you the reasons why.

Health and Safety Questionnaire

Who? One new committee member elected in summer term for following year
When? Every year at end of summer term ready for the following year’s activities
Why? The SG needs to be assured that new committee members are aware of health and safety issues that could arise from running a society by completing this form. The information needed to complete this form is given at the Sports / Societies Committee Officers Training Day (week after the Summer Ball). NB You will only get a Freshers’ Fair stall once you have completed this questionnaire.
Where? This form is not available until the end of the year.
Society Events Booking Form

Who? Sports & Societies Office and SU Operations Manager
When? minimum of 4-6 weeks ahead of a society event being held in one of the Students' Union venues (Mondo/Level2/Top Bar/Subzero)
Why? Completing the booking a minimum of 4-6 weeks in advance ensures your event can be booked and gives you time to sell enough tickets to cover the event. SG also has time to consider your application and work with you in making your event as successful as possible. Not completing this form in time may result in your application being rejected.

Budget Form
Who? Treasurer and / or other committee members elected in summer term for following year
When? Every year at end of summer term ready for the following year’s activities
Why? From the end of this year societies will be asked to complete a budget form of predicted spending for the following year. This is not only for the SG to get an idea to help plan the following year’s funding but for societies themselves to start to plan activities in advance.

Constitution

Who? Committee members, approved by society members
When? If you are a society you should already have a constitution!
Why?Every society must have a constitution agreed by its members. This is so members are clear what they are entitled to as a member. It is also important that you are clear about you aims and objectives in order that the SG does not approve an application for a new society that has the same aims as your society does.

Funding Application Form

When? 4 weeks ahead of a society event you wish to hold where you need access to your account and / or additional funding
Why? Completing the form 4 weeks in advance ensures the SG has time to consider your application and work with you in making your event as successful as possible. Not completing this form in time may result in your application being rejected.
