EVENTS AND TICKETS

 

WE KNOW IT'S SUPER BORING, BUT IT'S KIND OF IMPORTANT YOU READ THIS STUFF BEFORE YOU BUY YOUR TICKET, WE CAN'T ALWAYS OFFER REFUNDS.

These terms and conditions override all other advertised information.

Management and security reserve the right to refuse admission for unsociable behaviour and/or if a customer is judged to be too intoxicated or refuses to be searched. Management reserve the right to refuse entry to the venue for any reason. Management reserve the right to move events to different campus venues. Management also reserve the right to change the opening and closing times without prior notice. Students are responsible for the actions of their guests and if their guests contravene Union venue policies students will face an equal or greater punishment depending on the situation. Free Drinks will only be served to customers who aren’t intoxicated, any customers who we think are intoxicated won’t be served.

University of Essex Students' Union reserve the right to withdraw any promotional offers at any time without notice.

Rights over admission reserved.

If you receive a Venue Ban you won't be entitled to a refund on your event ticket.

 

VALID ID FOR EVENTS

 

YOU MUST PRESENT VALID PHOTO ID TO GAIN ENTRY TO AN EVENT.

We only accept valid University of Essex Student Registration cards, valid photo passports, or a valid driving licence. No other forms of ID are accepted. If you are unable to provide Valid Photo ID you will not gain admission to the event and refunds will not be given if a ticket has been purchased.

 

REFUNDS

 

We are unable to offer refunds on tickets and passes - please make sure you are able to attend an event when you purchase your tickets/passes. If you have been banned from the premises for any reason and have purchased a ticket you will not be given a refund.

 

BANS

 

Please note that if you break the venue policies or ANY law relating to licensing you may be banned from the venue. You can find out more information about bans here

 

TICKETS CATEGORIES

 

ADVANCE TICKETS:

Advance tickets aren't available after 10:30pm the day of the event. After this you'll need to purchase your ticket from The Hub at the door price.

STUDENT TICKETS:

Photo ID in the form of a VALID reg card will be required on the door. We have an electronic ticketing system (no paper tickets). To gain entry to an event you must bring your student registration card as proof of ID. If you purchase an SU Member ticket and have no student ID you will be refused entry (if a student-only event) or alternatively charged the difference between an SU Member ticket and a Door Non-Student ticket as you are unable to verify your student status. (You will still need another form of ID with you!) Tickets are non-transferable and you must be over 18 to attend events.

GUEST TICKETS:

Photographic ID in the form of Passport OR UK Driving license will be required on the door. We have an electronic ticketing system (no paper tickets). To gain entry to an event you must bring the credit/debit card you paid with online and photographic ID. If your guest ticket has been bought through a student account you must be with that student in order to gain entry (they will need their student registration card). Tickets are non-transferable. You must be over 18 to attend events.

COLCHESTER INSTITUTE STUDENTS:

Colchester Institute students may attend events upon presentation of a valid Student card and Photo ID, they may purchase SU Member tickets for all events except Cokos and explicitly current University of Essex Students & Alumni events.

IMPORTANT NOTICE FOR NON-STUDENTS:

All events are open to students and the general public unless specifically advertised as student-only. Any tickets purchased for Student only events must have a valid University of Essex Registration card presented to gain entry. Tickets will not be refunded in cases where a member of the public purchases a ticket for a student only event.

 

LAST ENTRY TIMES

 

Essex University Students' Union venues operate a last entry time for each event. Unfortunately, we can't offer refunds to customers who turn up after the last entry time. Freshers has its own Last Entry time due to wristbands and timings of DJs and Acts.

FRESHERS (Sunday 29th September 2019 - Saturday 12th October 2019):

Freshers Pass, Term Pass and Black Card Holders must be in the queue by 00:00am. Standard ticket holders must be in the queue by 00:30am or they will not be allowed entry.

STANDARD TERM TIME EVENTS:

You will need to be in the queue for all Sub Zero and Base events by 00:30am. You will not be allowed entry to the event if you turn up after this time.

The venue operates a no re-admission policy. If you leave the venue for any reason you will not be allowed to re-enter the premises unless you purchase an additional ticket. If the last entry time has passed (00:30am) and you choose to leave and wish to re-enter then unfortunately you will not be allowed. This is due to Box Office being closed and having no facility available to sell any more tickets.

Tickets are not transferable (tickets cannot be given to another person when purchased on your account).

 

PHOTOGRAPHY / FILMING

 

So we can show everyone how great our events are, we might be filming or photographing you when you visit. By buying a ticket or attending a free event you give permission to be filmed and for the footage to be used like this. These photos and videos will be used for marketing and promotional purposes. This includes posting them on our website and social media channels. If there is a photo of you that you wish to be removed please send a link of the photo to subzeroman@essex.ac.uk and this will be resolved for you. 

To make sure everyone is as safe as they can be at events some members of staff wear body cameras. This footage might be used by the Students’ Union for disciplinary investigations. By buying a ticket to any Students’ Union event you give permission to be filmed and for the footage to be used like this.

 

CLOAKROOM 

 

We have a Cloakroom stationed in Sub Zero next to our main bar. Every item you put into the Cloakroom costs £1.50 each. Only the owners items will be taken in the Cloakroom - please do not ask to put anyone else's belongings in the Cloakroom. Please ensure you look after your Cloakroom ticket as you will need to wait until the end of the night to claim your item should you lose the ticket. Ensure you have your registration card or photo ID to reclaim a lost item at the end of the night - without it we will be unable to give you back your item. All unclaimed items will be available from SU Reception the following day. Any items left on a Friday or Saturday will be available to collect the following Monday. Any items left around the venue will be put into the cloakroom if space is available - leaving your belongings around the venue is a trip hazard and potential safety risk.

 

PRIZES & GIVEAWAYS 

 

Please be aware for all our giveaway nights one prize ticket is allocated per person - this is at the discretion of management. Decisions of management are also final.

BLACK CARD AND FRESHERS FORTNIGHT (TERMS AND CONDITIONS)

Black Card, Term Pass & Freshers' Fortnight Wristband Terms and Conditions

Refunds:

No refunds will be given under any circumstances. Please ensure you buy the correct product.

Entry:

You will be able to enter all events throughout the year even when they are sold out - subject to terms and conditions (apart from the Freshers' Fortnight wristband where guaranteed entry to sold out events is only during Freshers' Fortnight).

If you have a Freshers' Fortnight wristband, Black Card or Term Pass you will need to be in the Venue by 12am for each event during Freshers Fortnight.

Post-Freshers:

You will need to be in the queue for all Sub Zero and Base events by 00:30am. You will not be allowed entry to the event if you turn up after this time.

The venue operates a no re-admission policy. If you leave the venue for any reason you will not be allowed to re-enter the premises unless you purchase an additional ticket. If the last entry time has passed (00:30am) and you choose to leave and wish to re-enter then unfortunately you will not be allowed. This is due to Box Office being closed and having no facility available to sell any more tickets.

Tickets are not transferable (tickets cannot be given to another person when purchased on your account).

ID:

Over 18s only. Valid ID (Passport or Driving Licence) will need to be presented along with a Wristband, Term Pass or Black card. If you fail to bring ID you will be refused entry.

Freshers' Fortnight Wristbands, Term Pass and Black Card:

Wristbands and passes must be collected during the day from SU Reception. Collection times will be advertised in advance. You will not be able to collect them at the Events. Wristbands must be worn. If the wristband if damaged or lost it will be become invalid. No refund will be given in this situation.  Wristbands, Term Passes and Black Cards remain the property of The Students’ Union at all times and they retain the right to remove wristbands or confiscate Freshers Wristbands, Term Passes or Black Cards if venue policies are breached or if the wristbands/passes are misused. When the period of events that are covered by the wristband, Term Pass or Black Card expire the item will transfer fully to the purchaser.

Venue Bans / Misuse of Black Card:

If you violate Venue policies and receive a Venues Ban you will not be entitled to a refund and will be refused entry to the Venue until your ban expires. If you abuse the Black Card or allow another individual to use the card it may be removed for a period of time.

Entertainment:

Whilst we try our best to make sure all acts appear if any fail to appear because of unforeseen circumstances we can't give refunds or partial refunds.

Discounts:

Please show your Student Registration card and Black Card before you order to claim your discount as this cannot be processed after a transaction occurs. The SU reserves the right to withdraw an offer or refuse a discount if it is being misused. Discounts may only be applied to full price items and any advertised drinks offers or special offers are excluded.

Queue Jump:

Please show your Black Card to Security staff or SU staff to “jump the queue” at events. You will still need to head to the queue to be subjected to a metal detector search before heading back up the stairs to skip the queue.

+2 Guests for Free:

These events will be advertised in advance and Black Card holders will be contacted by email to inform them of the offer. Guests must enter with the Black Card Holder. Management reserve the right to refuse entry. Guests must show their ID. If Guests have purchased tickets beforehand they are not entitled to a refund. If using this offer on student-only events then the two guests must have valid student registration cards.

Bonus Secret Perks:

These will be emailed out to you at selected times throughout the year.

Disclaimer:

Whilst every effort has been made to ensure these offers are accurate we accept no responsibility for any mistakes made. We reserve the right to alter prices after printing. No refunds will be given in the event that customers are mischarged when failing to show their wristband or discount cards for discounts. We reserve the right to change or withdraw any of these offers at any point without notice. No replacements will be given if Wristbands  are misplaced, lost or damaged. If a Black Card is lost or defaced so that the name can no longer be read, a replacement card can be claimed at a cost of £10 to the recipent.

No refunds will be offered on Wristbands if students do not take up their place at University of Essex or purchase a pass for Colchester but are based at the Southend or Loughton Campuses.

Summer Ball entry is not included with the Black Card. Tickets for the Summer Ball have to be purchased separately.

In the event that Sub Zero reaches its capacity on any event then pass holders will have to attend an event in Base or vice-versa. Management reserve the right to direct pass holders to a suitable event to ensure Venues comply with capacity limits. No refunds will be given if this situation arises. The SU will endeavour to ensure all customers are happy and able to attend the event of their choice.

Freshers' Fortnight Wristbands, Term Passes and the Black Card enable access to all Freshers' Fortnight events. Please note that limited single event tickets will be available from early September.

SU TAXI SOS

By using the SU Taxi SOS service with Roman Cabs I agree that:-

  1. I will only use the SOS cab service when I am without planned funds to make my journey home (e.g. wallet/purse is lost or has been stolen) or I am in a vulnerable state e.g. intoxicated, at threat, I feel there is a risk to my safety and/or require support services.
  2. I will only use the SOS cab service for a journey (capped at £10) back to my home address (either residential or university accommodation).
  3. I will only be able to use this service with Roman Cars (RC) of Colchester – the cab can be ordered through the online app or by calling Roman Cars directly.
  4. I will only be able to use the SOS cab service on presentation of my Registration card and PRID number to the driver.
  5. I will abide by Roman Cars terms and conditions and understand that I will be liable for any additional fees in line with these terms and conditions (e.g. if the student is sick in the cab, a cleaning charge will need to be paid by the student). 
  6. I will sign a docket showing the fare, the acceptance of liability for the cost (including a £1.50 administration fee) and the terms applicable
  7. I will settle the fee due within 7 days at the SU Reception.  I understand that should I fail to repay within 7 days I will be sent a reminder email.  If the fee remains unpaid, my details (Name, PRID and amount owed) will be passed to the University Income and Finance team and will be registered as a University debt.  This may prevent a student being able to re-register/attend a graduation ceremony until the debt is repaid.  I will also not be allowed to use the SOS service again until the debt is repaid.
  8. I will only be able to use the SOS cab service a maximum of 5 times in any 12 month period. Your SU reception will track activity and take positive action to support those students have used the service over the allowed amount.
